Inventory Management That Matches What Is Actually on the Shelf
An inventory management system tracks what you have, where it is and what it cost, updating as goods are received, moved, picked and sold. ODOOVATIONS implements inventory with barcode-driven receiving and picking, multi-warehouse and multi-location stock, batch, serial and expiry tracking where the product requires it, reorder rules, and valuation that feeds accounting correctly.
Who this is for
Distributors, wholesalers, manufacturers, retailers and pharmaceutical businesses where stock is the largest number on the balance sheet and nobody fully trusts it.
Why stock records drift
Stock records rarely go wrong in one dramatic event. They drift: a delivery received on paper and entered three days later, a sample given to a customer, a damaged carton written off verbally, a transfer between branches recorded at one end only. Each is small. Six months later the system says 400 and the shelf holds 340, and everyone quietly stops trusting the number — which is when people start ordering by instinct.
Recording stock at the moment it moves
- Barcode receiving against the purchase order, so shortages are caught at the gate
- Put-away to a specific location or bin
- Barcode picking and packing against the order
- Internal transfers recorded at both ends or not at all
- Adjustments and scrap with a reason code and a named person
- Cycle counting so you stop shutting down for an annual count
Tracking that some products demand
- Batch or lot tracking, with full traceability in both directions
- Serial numbers for warranty and service history
- Expiry dates with first-expiry-first-out picking and advance alerts
- Multiple units of measure — buy in cartons, sell in pieces
- Variants across size, colour or grade
Keeping the right amount
Reorder rules trigger on actual position rather than memory: minimum and maximum levels per product per warehouse, lead times built in, and suggested purchase orders raised automatically. The point is not to remove judgement — it is to stop the fast-moving line running out while cash sits in a dead line nobody has looked at since March.
- Purchase order
- Receive & scan
- Put away
- Available stock
- Pick & pack
- Dispatch
- Valuation & reporting
Valuation and what management sees
- Stock valuation on an agreed costing method, posted to accounts
- Stock ageing, so slow movers become visible before they become dead
- Stock turn by product, category and warehouse
- Shortage and stockout reporting
- Variance between counted and recorded stock, by location and by person
Accurate inventory is a process change as much as a software change. The system makes accurate records possible; it becomes accurate when receiving, picking and adjustments are recorded as they happen. We plan for that in training and in the first weeks after go-live, because the software alone will not fix it.
Questions
Not strictly, but they are usually the highest-return part of the project. Manual entry is where most errors enter, and scanners remove both the typing and the guessing. Ordinary Android devices work for many operations, so this need not mean expensive rugged hardware.
